Program Coordinator – Community Service Learning and Leadership, Department of Family Medicine, Rowan-Virtua SOM (Stratford, NJ)

SUMMARY

Performs a wide variety of administrative and support services within the Department of Family Medicine.
Serves as key support staff for the longitudinal Community Service Learning and Leadership Course and the AHEC Scholars Program.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Community Service Learning and Leadership course-related duties:

  • Serves as the main point of contact for
    pre-clerkship CSLL students.

    • Handles & resolves student complaints in a timely manner
    • Records necessary details of student
      inquiries, comments and complaints as well as actions taken to address them.
    • Directs requests to the appropriate resource.
  • Maintains essential records, calendars & software for the pre-Clerkship CSLL course.
    • Regular updates and
      maintenance of the Canvas pages and google drives
    • Records all course data and presents at retreats to inform continuous improvement
      efforts and innovation
    • Maintains ExamSoft assignments, One45 send outs, Qualtrics/google form surveys, Echo360 recordings
  • Manages student grades in a timely and accurate manner, including coordinating and tracking student remediation.
  • Supports the Course Director in development of the annual course schedule:
    • Communicates all schedule needs/requests to Academic
      Affairs + students
    • Provides logistical support for schedule development i.e. room reservations, Webex creation
    • Confirms
      lectures with faculty
  • Serves as primary point of contact for all faculty, guest lectures, and panelists

    • Compiles all lecture materials and recordings and distributes to students and faculty
  • Provides support for IPE
    event
  • Provides administrative support for the CSLL director.

AHEC Scholars Program related duties:

  • Oversees AHEC Scholars Recruitment and Retention
    • Contact person for recruitment and retention activities and tables at partner
      orientation fairs and works with AHEC HRSA Advisory Committee to recruit students.
    • Creates promotional recruitment materials.
    • Onboards, mentors, and serves as the main point of contact for two cohorts of scholars throughout the academic year.
  • In conjunction with the AHEC Scholars Director, monitors and updates the AHEC Scholars curriculum to be in line with current trending
    topics and HRSA priority areas.

    • Maintains AHEC Scholars Canvas Page
    • Coordinates the program calendar of events
    • Reviews and updates didactic learning for relevance
    • When necessary, facilitate live scholars’ content.
  • Works with Program Evaluator to:
    • Ensure scholars grant deliverables are being fully met
    • Identify areas of growth for
      Scholars Programming
  • Supports AHEC Scholars Director in identifying and cultivating relationships with community
    partners that can provide meaningful academic and experiential learning opportunities.

    • Drives any necessary MOU processes to
      onboard new community partners
    • Orchestrates community learning opportunities with scholars and established partners
    • Regularly evaluates partner relationships for use and effectiveness
  • Meets with AHEC Centers routinely to ensure
    active involvement in Scholars Programming.
  • Attend monthly AHEC meetings.

Provides cross coverage to other academic roles
as needed, including but not limited to exam proctoring and day of logistical support for UME courses.

Assists with special
departmental projects and events as needed.

Understands and adheres to Rowan’s compliance standards as they appear in Rowan’s
Corporate Compliance Policy, Code of Conduct, and Conflict of Interest Policy.

Keeps abreast of all federal, state and Rowan
regulations, laws and policies as they presently exist and as they change or are modified.

Performs other related duties as
required.

EDUCATION and/or EXPERIENCE

Bachelor’s Degree, plus
two (2) years of progressively more responsible professional and/or administrative experience in either the public or private sector,
required.

Proficient in Microsoft Office and able to quickly learn and adapt to various software applications.
